BOARD MEETING MINUTES

JUNE 2, 2008


Attending: Karen Parrott, Lee Ann Tyler, Suzanne Brozek, Jenn Moss, JoAnn Witek, Paulette Joyce, Lisa Soo, Wendy Bryson, Rachel Kinicki, Walter Foster, Flemming Christiansen, Sue Krikorian, Erica Davidson, Donna Bottari, Marcia Cece Epstein.

Secretary’s Report: Marcia Cece Epstein. A motion was made, seconded, and approved to accept the May 12, 2008 Minutes with the following amendments:
p. 2 contribution of invitations and center pieces by Sari KELLY.; hospitality, the spring concert brought in $125+/-. Uniform Return.. Michelle Christensen would not be at the :add: Memorial Day. Tha nk you to Robyn Harding for taking the May Minutes.

Treasurer’s Report: Lisa Soo. Festivals and day trips show large expenses. Still paying out. $6,500 brought in and $861 used from student accounts. Spent 11,000 but still negotiation over bill. Question of sales tax. Scholarships paid but must show as fundraising for tax purposes. $1.084 going to Winter Guard and $500 to Golf Tournament plus other expenses – thus the $23,479 will decrease. Reviewed DC Trip. Spend an additional $500. Motion made. Seconded and approved for $1,300 extra spent on DC trip. A motion was made, seconded and approved to accept the June 2, 2008 Treasurer’s Report.

Directors’ Reports: Suzanne Brozek for Mr. Hickey. A thank you letter to FOM from Mr. Hickey was read. Grade 8 Band and Chorus earned gold. Graduation is Friday, June 6. Musicians to report no later than 5 p.m. ….. 20Gates and Conant Concerts: June 10. Conant, Merriam, & McCarthy Towne – June 11. Fifer’s Day Parade 6/21. Report 10 a.m. in Uniform. Band Camp August 18-22. Precamp Percussion 7/15, 22, 29, 8/12. All notices for summer mailing via email no later than 6/19. New uniforms will be delivered on October 20.

Jenn Moss: Chorus Camp August 29, 9-2. Proposed trip to Quebec and Montreal 4 days/3 nights 4/17-20. Possible performance at Notre Dame. Using same tour company that organized the Italy trip. Letter sent home asking for $100 refundable deposit. …
Madrigal Dinner sold out with 13 seniors graduating. Sue Pederman will be taking over for Nancy Duggan. … Choral p rogram growing – added Women’s 10th grade ensemble. Jazz and Broadway genre. 114 students in Concert Choir. … Ms. Moss performing in Colored Pencil Project benefit on June 14 at the Acton Congregational Church.

Car Wash: Flemming Christensen. August car wash date is tentative due to confusion at Community Ed. Now set for 8/30. Flemming looking for co-chair – will do a phonathon with freshman parents and hopefully find a successor.

Music Banquet: Paulette Joyce. 381 Paying guests. Everything went smoothly and the venue was an improvement.

Uniforms: Sue Krikorian. All uniforms will be turned in by Fifer’s Day. Michelle will be at the school after the Sr. Graduation rehearsal on June 3 to collect uniforms.

Golf Tournament: Walter Foster. Thursday 9/25 at Shaker Hills. Hoping for 72 golfers. 1:00 shotgun start. Asking everyone to forward the constant comment to 10 people. Will be using the web tool to: sign up for “n” committee; communicate; sponsorship committee; golfing foursomes; auction committee (items and donations). The web tool will assist in communications without physical meetings. $150/golfer. Money made on sponsorships and auction. School paying for ½ uniforms; ABFOM paying $9,000/year for next four years.

Summer Packet: Packet committee needs to get together. Looking at Embroid Me for pricing on the fleeces – will contact Peter Norton to discuss. Need flyer from membership and Golf Tournament. Band 101 will be presented on Wednesday night during Band Camp. Volunteer form will be ready at Registration.
