BOARD MEETING MINUTES
NOVEMBER 5, 2007
Attending: Sherry Robarge, Robyn Harding, Lee Ann Tyler, Lisa Soo, Jim Conoby, Walter Foster, Mark Hickey, Suzanne Brozek, Wendy Bryson, Don Brady, Donna Bottari, Paulette Joyce, Pam Nourse, Rachel Kinicki, Linda McCann, Michelle Christensen.
Secretary’s Report: Marcia Cece Epstein. A motion was made, seconded, and approved to accept the October 1, 2007 Minutes as read.
Treasurer’s Report: Lisa Soo. The golf tournament netted $8,456.77 with $4,600 going into student accounts. The breakdown is as follows: (1) golf/dinner net $971.34;
(2) Sponsors net $2,922.00; and (3) auction net $3,109.90. …. The expenditures under programs, transportation, and hospitality are growing. $27,000 is available to ABFOM. With monies in the money market account, ABFOM will enjoy greater interest rates while still being able to write checks. … A motion was made, seconded, and approved to accept the November 5, 2007 Treasurer’s Report.
Directors’ Reports:
Mark Hickey. The Quincy Christmas Parade on Sunday, November 25, was added to this year’s program with the money earned shared equally among participating students. Step off at 12:30 with a return after the Awards Ceremony – approx. 5:00 p.m. The Winter Concert takes place on December 11, 2007.
Jen Moss by Suzanne Brozek. Nine students participated at the Mass. Choral Directors Association H.S. Honor Choir at UMASS on October 27, 3007. Students rehearsed all day with guest conductors and then performed as part of the UMASS Choral Spectrum concert. ….. Cabaret takes place November 16 and 17 at 7:30 at the Parker Damon School. Tickets can be purchased during school lunch periods, from Ms. Moss, or at the West Acton Market. Tickets are $10 ….. Madrigal gigs. November 30: exchange rehearsal with Lexington Madrigals; December 12 at 3:30 p.m. performance at Robbins Brook, Acton; December 20 at 1:00 p.m. performance at Mt. Calvary Church. … Thank you for approving money to replace gowns, etc. Marcia Charter is working on these. … All gowns have been paid for and are ready for distribution. Men’s tuxes are measured and will be delivered after Thanksgiving. ….. Faneuil Hall on Friday, December 14, 2:30 – 9:00 p.m.
Jeremy Denzer by Pam Nourse. Open house next week. Jeremy requests $400 to purchase two sets of flags and approximately $100 for props. The plan is to reuse costumes and have participants buy accessories. A motion was made, seconded, and approved to allocate $500 for flags and material for Winter Guard.
Pie Sale. Donna Bottari. Decrease in sales; however, the vendor has seen this in other locales. 111 students participated for a total of $18,100 in sales with a profit of $6,500. The 2006 sales total was $25,000. Pick up is November 17.
Winter Percussion. Suzanne Brozek for Larry Hough. A motion was made, seconded and approved that $500 be allocated to the Winter Percussion Program for uniform and material needs.
Cabaret. Don Brady. As volunteer coordinator for Cabaret, looking for additional volunteers.
Hospitality. Rachel Kinicki. Ran out of donuts at Columbus Day Parade. Although very expensive, the donut tradition will continue following parades. Refreshments for the Winter Concert and Spring Concert will be split by the Ninth Grade Women’s Chorus.
A motion was made, seconded and approved that “IF” AB goes to the Super bowl that up to $100 will be allocated for the band’s halftime snacks.
Publicity. Walter Foster. Two articles re the Band’s MICCA performance should be in this week’s Beacon. Also, will publicize Cabaret. The Thursday publication deadline is Noon “sharp” on Monday preceding. The deadline for holiday weeks is the Friday preceding. A student will be identified to write an article re his/her experience with Cabaret.
Plant Sale. Sherry Robarge. The order forms have been distributed to students and are due on November 13. The plant cost is $18 with $7.50 going to the student. The plants will be delivered to AB on December 7; pick up is December 8 in the Band Room.
Uniforms. Michelle Christensen. No longer an option to swap damaged pieces. Also need hats for drum line and sousaphones. Looking for sponsors to help defray the costs. Mr. Hickey will take the initiative of investigating the possibility of completely new sets.
Uniform inspections will take place before the D.C. Trip, but after the Winter Concert.
President’s Notes. Suzanne Brozek. Suzanne and Mr. Hickey spoke at the Acton Chinese School regarding the Acton and Acton-Boxborough music programs. Walter Miska will link the ABFOM Gear to the ABFOM website before the next board meeting. The New Jackets are the official chaperone gear.
