BOARD MEETING
AUGUST 16, 2007

Secretary’s Report: Lisa Soo for Marcia Epstein. A motion was made, seconded, and accepted to approve the June 4, 2007 Secretary’s Report.
Treasurer’s Report: Lisa Soo. Low activity in the summer. Prior year is being wrapped up by former treasurer Debby Andell with accountant. Expenses so far primarily for uniforms. A copy of the Treasurer’s Report is attached and made a part of these minutes. Last year’s seniors’ accounts will be closed after the current band roster is received by the treasurer.
Directors’ Reports:
Mark Hickey. Current count for band is 194 students, number may change as students rearrange schedules. Form processing is in great shape thanks to Lee Tyler’s efforts. Field show will be Night at the Opera. Jeremy Denzer and Larry Hough worked through the summer with color guard (21 students) and percussion (large percussion including 9 snares). A rookie marching session was held last week. DC Cherry Blossom trip in April. The travel company will be Suburban Tours. At present, sixty rooms are being held near DC for 3 nights, Thursday to Sunday. Estimated cost is $430.
Jen Moss. Chorus Camp will be Tuesday, August 28. Pizza will be served; Rachel Kinicki will take care of hospitality. The Chorus president is planning a pool party afterward. Oktoberfest 10/13/07. There will be a choral performance. Brief discussion about having an ABFOM table there.
Band Camp News:
Lee Tyler. Will finalize chaperone list for Band Camp on Friday. Discussed check-in procedures to make sure all necessary forms have been submitted for each student. Students will have name tags. Rachel Kinicki. Hospitality all set. Pizza will be ordered for students’ dinner on Monday. (Labor Day Parade will include traditional doughnuts.) Michelle Christensen. The drum majors’ uniforms have been tailored. Uniforms have been cleaned; a few late uniform cleaning costs will need to be billed to the students. Uniform and other Band Camp information will go out via the Constant Contact email list. Other Band Camp News. Pictures will be taken on Friday morning of Band Camp. Parking should be on the gazebo side of the school, given the other activities taking place during Band Camp week.
Membership Update: Erica Davidson. 118 membership forms have been received. 47 new families, only 29 of whom are freshman families. Dues so far: $2,360. Donations: $390.
Web Site: Peter Norton. The web site is being redesigned for easier navigation. Frames will be eliminated, and there will be sections dedicated to band and chorus. It was discussed and agreed that notice of board meetings and their minutes should be posted on the web site.
Golf Tournament & Silent Auction:
Walter Foster. Golf Tournament will be held at Shaker Hills on September 26. Thirteen foursomes seem definite, two are signed up officially. Seven more foursomes could easily be accommodated, more are possible. After 80 golfers, Shaker Hills’ pricing per golfer changes, altering the profitability of the golf/dinner portion Grafax, Inc., who printed the brochures, is donating signage as their sponsorship donation. Middlesex Savings Bank is donating gift bags. The job of ABFOM members is to donate if possible, (all items welcome), contact businesses and golfers, and generally be ambassadors for the event. The tournament will pay for itself; every dollar of sponsorship and silent auction donations will go to help ABFOM. …Rosemary Szewczyk. Local small businesses are being approached for the silent auction. The plan is to add a lot more businesses, hoping to grow this part of the event. If donations are at the sponsorship level, the contact is sent to Suzanne. ……… Suzanne Brozek. The basic sponsorship level is $125. So far, over $1,000 of sponsorships have been promised. Sponsors will be listed on signs at the tournament and also on the web site.
Car Wash: Michelle Christensen for Flemming Christensen. The next car wash will be held on August 25. Signups will be in the band room during band camp. Jen Moss has informed the chorus students of the date. Flemming has fifteen chaperone names from the volunteer sheets and could use a few more volunteers. It will be a double-lane car wash, at $8 per car.
Other: Thank you notes from Evan Morse and Michelle Frazee were read.

EmbroidMe Presentation
After the meeting, Walter Miska of EmbroidMe in Chelmsford met with the group to discuss ideas for new chaperone uniforms. His company offers the possibility of online ordering of chaperone gear. He displayed an embroidered and a printed ABFOM logo. The group agreed that a uniform look for chaperones was important and discussed the possibility of longer jackets and zip-out linings for cold days, lighter polo shirts for hot days. Prices seem comparable to the previous supplier (who is now out of business), though exact prices were not discussed. Catalogues will be available during band camp for ABFOM members to review.
