BOARD MEETING
OCTOBER 1, 2007

Secretary’s Report: Marcia Cece Epstein. A motion was made, seconded, and approved to accept the September 11, 2007 minutes amended as follows: (1) Walter Miska attended as a guest and not as an ABFOM member; and (2) the name of the company providing the new chaperone attire is “Embroid Me”.
Treasurer’s Report: Lisa Soo. Lisa will provide sales-tax-exempt forms to those making purchases. While there is $36,000 in the bank, some is held for scholarship and in student accounts. A motion was made, seconded and approved to accept the Treasurer’s Report, a copy of which is attached and made a part of these Minutes.
Directors’ Reports:
Mark Hickey. Mr. Hickey began by thanking his students’ parents for all their support. The following is the busy October schedule: 10/5: AB at Waltham; 10/7: Columbus Day Parade in the North End, Boston; 10/12 home game; 10/14 MICCA at Methuen; 10/19: LS at AB; 10/26: AB at Bedford; 10/28 MICCA Finals, Lowell; 10/30: Halloween Party at AB. …… First Payment for D.C. Cherry Blossom Festival Parade is due November 1.
Jenn Moss. Octoberfest. Acapella groups and the Madrigals will perform between 11:45 and 12:30. ….. Halloween Party – a lot of decorations are available from last year. A motion was made, seconded, and approved to allocate up to $500 for the 2007 Halloween party, which amounts must be approved by the students’ directors. ….. Mass Choral Directors Association is hosting an honors choir at UMass Amherst on October 21. Nine students from AB have been invited. ……. The concert choir will be performing with the Lexington High School Orchestra at Lexington on April 9, 2008, at 7:30 p.m. …… The Women’s Chorus will be attending the Women’s Festival in Westborough on April 11, 2008
Hospitality: Rachel Kinicki. Since both MICCA shows fall on a Sunday, discussed serving pizza preshow. Donuts will be served on Columbus Day. A motion was made, seconded and approved to allocate up to $500 for pizza at the first MICCA preperformance pending Mr. Hickey’s approval.
Membership: Erika Davidson. A total of 182 families – 82 chorus; 106 band, with an overlap of 11; 8 color guard. Add $40 to bring treasurer’s report up to date for a total membership amount of $3600.
Golf Tournament: Walter Foster. Fifty-four golfers participated. Wendy Bryson handled dinner portion with alumni joining in. The foursome winner included Mr. Hickey and Ms. Moss. Figures not yet finalized. Overall, dinner cleared $520; sponsorships @$3,000 (signs on every hole); silent auction raised close to $3,300. This year’s tournament was a substantial increase in revenue. The goal was to reach between $6-8,000. To date the amount is around $6,400 and expect that number to increase slightly.
Octoberfest: Sherry Robarge. ABFOM will provide its display as well as sell desserts, decals, cookbooks, raffle tickets for its 50-50 raffle, offer memberships. It was suggested that a band tape play while advertising its DC Trip.
Poinsettias: Rebecca Gurley, chair. Packets go out on October 15 with a due date of 11/16. The plants arrive on December 7 and student pick up is December 8. Since the vast majority are sold by students and only 74 were sold on “blitz day”, it is unclear whether this blitz will be repeated.
Jackets/shirts: Suzanne Brozek. The website store is up and running. Different size shirts and jackets will be available for sizing. A motion was made, seconded, and approved to allow ABFOM to order six extra jackets to be kept in the closet for volunteers.
New Business:
The board discussed putting scholarship money into a higher yielding account such as a 6-month CD. A motion was made, seconded, and approved to give Lisa Soo, Treasurer, power to open a CD as a way of reaping a higher yield for scholarship funds.
“Mark Hickey Ten”. There was discussion of funding this scholarship with $500 or a percentage of a fundraiser to allow it to become self-sustainable. Should this scholarship be viewed as an endowment vs. an earmarked amount. A motion was made, seconded, and approved to name a task force to examine options for “The Mark Hickey Ten” and to report back to the February, 2008, ABFOM Board Meeting.
