BOARD MEETING MINUTES
OCTOBER 6, 2008


Attending: JoAnn Witek, Dave Clough, Suzanne Brozek, Mark Hickey, Susan Krikorian, Donna Bottari, Erica Davidson, Beth McDonough, Michelle, Christensen, Paulette Joyce, Jeremy Denzer, Lisa Soo, Jane Egge, Marcia Cece Epstein.

Secretary’s Report: Marcia Cece Epstein. A motion was made, seconded and approved to accept the September 9, 2008 Secretary’s Report with the following correction: Line 4 – change
Furlong to Furlan. Additionally, it should be noted that the business meeting was followed by the Annual General Meeting.

Treasurer’s Report: Lisa Soo. The figures for the golf tournament are not final. ….. The first payment for the Quebec trip has been made – 160 students are expected to participate … the tax return is done; check cashed. The organization was 20 years in arrears. … ABFOM is in good financial condition. Leftover amounts in senior accounts have gone into the Scholarship fund. A motion was made, seconded and approved to accept the October 6, 2008 Treasurer’s Report, a copy of which is attached and made a part of these Minutes.

Directors’ Reports:
Mark Hickey. Compliments to MICCA preliminaries; finals at Lowell on October 26, 2008 in Lowell. Columbus Day Parade in East Boston on October 12. Halloween game falls on 10/31 at AB. Will be applying for a grant to invite Deb Huber, as a conductor in residence from UMass.
Jen Moss. Student led a cappella group will entertain at the Oktoberfest. … Jane Egge is taking the role of the newly formed Chorus Chaperone Coordinator. Cabaret is November 21 & 22, 7:30 p.m. at the AB Auditorium. No food will be served, but snacks will be provided. Auditions take place next week. ….. 160 students are going to Canada on four busses. The Itinerary is set – April 17-21. The payment schedule is set - $565/student. The chaperone count has been increased by one to accommodate the large number of participants.
Jeremy Denzer. Winter Guard begins 11/18. Looking to recruit new members as nine seniors is in Guard.

Chaperone Coordinator. The organizational chart for the Executive Board includes the position of Chorus Chaperone Coordinator. The By-laws will be posted on the ABFOM website.

Halloween Party. Student Leaders.. Discussion surrounding this year’s Halloween Party and budgetary needs. A motion was made, seconded and approved to appropriate up to $500 to cover the costs of the 2008 Band/Chorus Halloween party.

Dessert Sale. Donna Bottari. Packets went home late September and are due October 14. There is a 45-55% profit with one-half going to student accounts. Last year $8,000 was made. Pick up is November 22 from 8:30-10:30 a.m. RE: NUT ALLERGIES. Pretzels are completely nut-free; apple, blueberry and pumpkin pies are safe. There is a website for researching nut safety. The cookie dough is NOT nut free.

Golf Tournament: Dave Clough. There were fewer golfers (40) this year, but more hole sponsors. Auction items were approximately the same. Made about the same as last year. Recommend getting more done before the summer. The website was convenient; the only cost was credit card use. There were suggestions to get more chorus participation and more people to the dinner – perhaps by presenting it more as a “social”. Also discussed changing it to Spring and advertising it as two distinct parts: (1) golf tournament and (2) silent auction dinner.

New Business. Suzanne Brozek. Larry Todisco is managing Constant Contact. He is working with Peter Norton regarding instructions for re-subscribing to Constant Contact if formerly opting out or inadvertently opting out.

Uniforms: Michelle Christensen. Looking to recruit new members of the Uniform Committee.

A motion was made, seconded and approved to adjourn. The next Board Meeting is Monday, November 3, 2008.
